Blackberry & smartphone integration optionsSmartphone email, calendar & contacts integrationIf you use a Blackberry please see the section below for Blackberry specific integration options. If you use any other smartphone please read on. There are 3 common options for setting up smartphones which will enable staff to send and receive email from their work account while out of the office or even the country; automatically update their calendar tools and appointments; and update their contacts using the smartphone's mobile connection to the internet:
Setting up an IMAP or POP accountEmail setup via IMAP or POP3 is ideal for smaller companies who do not host their own email servers. This is a quick and easy option anabling staff to stay in touch via email and no extra costs are involved with this setup. The user's calendar can be synced using the desktop software provided with the smartphone. Once the email account is set up the smartphone will receive email directly to the handset through the smartphone's mobile connection to the internet. The option to receive email can be set to send/receive at regular intervals or if preferred, it can be set to send/receive manually if the user is away from the computer.
Google Apps integration optionsGoogle Apps is a very versatile system which supports most mobile platforms including BlackBerry, Android, iPhone, Windows Mobile and Symbian. Google Apps can seamlessly integrate with your existing Exchange Server, IMAP or POP email accounts to provide access to email, calender and instant messaging. Setting up Exchange via ActiveSyncEmail setup via ActiveSync is for companies who have their own mail server; this setup is quick and easy to do using the ActiveSync option on the handset. No extra cost is involved in this setup. Once the email account is setup using ActiveSync the handset will synchronize wirelessly over the phone's internet connection to update the calendar and the contacts. The option to receive email can be set to send/receive at regular intervals or if preferred, it can be set to send/receive manually if the user is away from the computer.
Using the Web browser to access emailsTo use the smartphone's web browser to check emails, a user simply needs to open the web browser provided on the smartphone; enter the URL for their online email account and log in to check their emails and send/receive. Their contacts and calendar will be available through the online email site so these can also be accessed via the browser.

Blackberry integration optionsThere are several ways to setup your Blackberry smartphone to synchronise with your desktop contacts and calendar, and send/receive email as well as accessing the web. Email, contacts and calendar all update automatically, giving you full access to this information in real-time.
Option 1 - Blackberry Desktop Software / Blackberry Internet Service accountThis option is designed for smaller companies who do not host their own email server (i.e. use POP email accounts), or companies with only have a few Blackberry users. This option is quick and easy to setup and does not incur any additional cost. Contacts & CalendarThe Blackberry Desktop Software is loaded onto the user's PC in order to allow synchronisation with the desktop contacts and calendar. This allows full real-time access to the information held in your Outlook (or similar) when you are out of office. A Blackberry email address is set up, and then your company email system is modified to send a duplicate copy of all emails to your blackberry email address. This allows you to view, send and receive your emails in real-time, even when you are out and about, or even out of the country.
Option 2 - Blackberry Enterprise Solution Server Express (BESX)BlackBerry Enterprise Server Express (BESX) offers a low cost solution for businesses of any size, with an existing Microsoft Exchange or Microsoft Small Business Server, to quickly and easily get started with the BlackBerry solution. System requirementsBES Express integrates with Microsoft Exchange 2003, 2007 & 2010 and can be run on the same hardware as the messaging platform including Microsoft Small Business Server versions 2003 & 2008. In this scenario BES Express is certified for up to 75 users and an additional 1.5 Gb of system memory is recommended. BES Express can run up to 2000 users when installed on separate server hardware.
